1. Event Overview

Game Set Mahj is a tennis and mahjong tournament benefiting the Baptist Health Foundation, supporting the Baptist MD Anderson breast oncology program. The event takes place October 2–3, 2026, at The Yards, 254 Alta Mar Dr, Ponte Vedra Beach, FL 32082.

2. Registration & Payment

• Registration is for a team of two players. Both players' contact information is required.
• The registration fee is $350 per team, plus any optional sponsorship selections.
• Payment is processed securely through Baptist Health Foundation's donation portal. You will be redirected to their site to complete payment.
• Your registration is saved upon submission regardless of payment status, but participation is not confirmed until payment is received and your team is approved by the tournament organizers.
• All donations are tax-deductible as allowed by law. You will receive a receipt directly from Baptist Health Foundation.

3. Division Placement

Division level definitions (A, B, C) are general guidelines based on USTA ratings. Players are asked to use their best judgment and play at the level of their strongest player to ensure fair and competitive play. Tournament organizers reserve the right to adjust division assignments to maintain competitive balance.

4. Tournament Format

• All teams play best of three sets with a 10-point tie-break in lieu of a full third set.
• Both a Main and Consolation draw are offered, guaranteeing every team a minimum of two matches.
• Match scores are submitted and confirmed through the player portal by participating teams.
• Disputed scores are reviewed by tournament organizers, whose decision is final.

5. SMS Messaging Consent

By providing your mobile phone number during registration, you consent to receive SMS messages from Game Set Mahj for tournament-related purposes, including:

• Rain delay and weather alerts
• Court assignment notifications
• Schedule changes
• General tournament announcements

Message frequency varies based on tournament activity, particularly on event days. Standard message and data rates may apply per your carrier.

6. Rain & Weather Contingency

In the event of inclement weather on Friday, October 2nd, tennis matches (or any remaining unplayed matches) will be moved to Sunday, October 4th. The mahjong tournament takes place under a covered pavilion; if weather requires reduced table capacity, mahjong play may be divided into two waves on Saturday. Additional details would be provided at that time.

7. Substitutions

Registration is for the entire event (tennis and mahjong). If you cannot participate in one activity, you may provide a substitute by contacting gamesetmahj@gmail.com with their name and contact information. Two players are required for each registration to ensure correct player counts.

8. Sponsorship & Commemorative Banners

Optional sponsorship selections (commemorative banners, mahjong table sponsorships) are offered during registration. Banner names and table sponsor information will be displayed at the event as submitted. Please ensure all names are spelled correctly at the time of registration.

9. Survivor Recognition

Players may optionally grant permission to be recognized as breast cancer survivors at the event. This permission is voluntary and may be withdrawn at any time by contacting gamesetmahj@gmail.com.

10. Player Portal

The player portal provides access to draws, court assignments, match scores, and real-time notifications. Account access requires registration using the email address provided at registration. Players are responsible for keeping their account credentials secure.

11. Refund & Cancellation Policy

As registration fees are processed as donations to Baptist Health Foundation, refunds are subject to the Foundation's donation policies. Please contact gamesetmahj@gmail.com for cancellation requests.

12. Liability Waiver

Participation in Game Set Mahj is at your own risk. By registering, you acknowledge that tennis and mahjong activities carry inherent risks, and you assume full responsibility for any injury, loss, or damage that may occur. You agree to release Game Set Mahj, its organizers, volunteers, and sponsors from any claims arising from your participation.

13. Photo & Media Release

By participating in Game Set Mahj, you grant permission for photos and videos taken during the event to be used for promotional and charitable purposes related to the tournament and Baptist Health Foundation, without compensation. If you do not wish to be photographed, please notify a volunteer at the event.

14. Changes to These Terms

We may update these Terms & Conditions from time to time. We will post any changes on this page and update the "Last updated" date above.
